Catering Executive Assistant


  • Answering all incoming calls
  • Write client information on Lead Sheet
  • Welcome visitors in professional and inviting manner
  • Maintain a clean, neat and organized office environment
  • Receive Fed Ex and UPS deliveries
  • Promptly responding to emails
  • Follow up and obtain feedback from customers after an event
  • Complete estimates/invoices for clients
  • Complete Contracts and review the terms with the client
  • Process Event Sheets through TPP and distribute to Kitchen Staff
  • Print Food Labels for Deliveries
  • Keep Invoices and Events Sheets updated and synchronized with Kitchen
  • Create, update and maintain client’s files
  • Send emails to clients 2-3 days before to confirm details such as date, day, delivery time, event time, number of people and location.
  • Keep events sheets update with most current information and communicate with the Chef
  • Enter Leads in TPP
  • Keep internal notes in TPP on clients following phone calls
  • Process credit cards, cash and checks. Apply payments to client’s invoice
  • Schedule and confirm consultations and tastings


  • Word, Excel and Publisher
  • Customer service driven
  • Excellent organizational, time management, filing, multi- tasking and typing skills
  • Exceptional attention to detail
  • Excellent writing and verbal communication skills
  • Ability to maintain professionalism, kindness and patience with clients and co-workers
  • Ability to work with a team and independently


  • 1-2 years of administrative experience (Preferably Catering exp.)

Job Type: Full Time
Hours: Monday-Friday, 10am-6pm
: Associate Degree
